How it happened.

Wanted, planned, researched, moved, worked. Five steps from two systems to one.

  1. 01 What they wanted

Two systems, one team. They wanted one.

HR and payroll lived in RealHRSoft, attendance on ZKTeco devices. The goal: one system, without losing a single record.

  2. 02 The plan

    Which device? Which protocol?

ZKTeco K40 Pro and LF20 on ADMS push: devices report straight to the cloud, so there is no office server to run.

  3. 03 The research

Fingerprint templates do not convert between versions.

ZKFinger v10 and v12 templates are not interchangeable. Every enrolment at Nest Nepal is v10, the format its floor door devices read, so fingerprints copy from the master device to the doors.

  4. 04 The move, 9 to 10 October 2026

Every phase dry-run first, then committed.

Overview.

Nest Nepal Business Solutions is a technology company in Dhobighat, Lalitpur, founded in 2020. Its CEO is Kushal Kafle. The company ran HR, attendance, leave and payroll in RealHRSoft, and two related companies ran on the same RealHRSoft account as divisions of Nest Nepal.

In September 2026 Nest Nepal opened an EK ERP account and set up its current staff. That left the history behind: almost two years of attendance, every leave request, past contracts and the payroll runs of 2026 were still in RealHRSoft.

02

The challenge.

Starting fresh would have cost the team its records. Leave balances depend on what was taken and approved before, a former employee asking for an experience letter needs their contract dates, and attendance questions reach back months.

The data was also tangled in ways a plain import would get wrong. Some people already existed in EK ERP and some did not. A few had left and been rehired, so one person had two stints. Staff of the two related companies sat in the same RealHRSoft account but needed their own companies in EK ERP, while some of their supervisors were Nest Nepal employees.

03

The solution.

Nest Nepal exported its RealHRSoft data on 9 October 2026: employee profiles, past staff, contracts and job history, leave settings, balances and requests, attendance, holidays and payroll runs. The export covered 185 readable sections of its RealHRSoft portal.

Each RealHRSoft person was then matched to an EK ERP employee by email first, then by name, and every uncertain match was listed for review before anything was written. A rehired person became one employee with an earlier contract, not a duplicate.

04

How the move ran.

The import ran in phases over 9 and 10 October 2026, one area at a time: employees, then contracts, leave, attendance, payroll, education records, cross-company supervisors and finally holidays and attendance corrections.

Each phase ran first as a dry run inside a transaction that was rolled back, so the counts could be checked against the export before the same script was committed. Every script checks that the data it expects is still there and stops if anything changed since the last snapshot.

Records Nest Nepal had already entered in EK ERP always won. Imported attendance days carry a note naming the RealHRSoft record they came from, so any imported row can be traced back.

What moved.

Across Nest Nepal and its two related companies:

  • 141 employee records from RealHRSoft, 58 current and 83 former staff, with job history turned into dated contracts.
  • 7,838 attendance days built from 10,104 RealHRSoft attendance rows, the earliest from 24 November 2024.
  • 826 leave requests from February 2025 onward, 764 approved and 62 denied, each with the person who decided it. Leave balances were set so each person starts with the usable balance RealHRSoft showed.
  • Eleven RealHRSoft payroll runs covering January to September 2026, one EK ERP run per month.
  • The eight 2026 public holidays and the approved and declined attendance corrections.
06

Features in use.

Nest Nepal uses EK ERP for employee records and contracts, attendance, leave and payroll. Five ZKTeco attendance devices, three of them LF20 terminals, are connected to its account, and three floor doors open through EK ERP door access. The two related companies run as their own companies in EK ERP, and Nest Nepal managers can supervise their staff there.

07

The outcome.

The history carried over. Attendance from November 2024, every leave request with its decision and the 2026 payroll runs now sit in the same place as new data, under each employee.

Punches now flow from the ZKTeco devices into EK ERP, and the floor doors logged 271 access events in their first three days, from 8 to 10 October 2026.

What did Nest Nepal move from RealHRSoft to EK ERP?

Employee records and job history, contracts, leave types, balances and 826 leave requests, attendance back to November 2024, attendance corrections, holidays and the payroll runs of January to September 2026.

How long did the move take?

Nest Nepal exported its RealHRSoft data on 9 October 2026, and the import ran on 9 and 10 October 2026. Each step ran as a dry run first and was committed only after its counts matched the export.

Did former employees come across too?

Yes. 83 of the 141 RealHRSoft employee records were former staff, and their contracts and attendance came across with them.

Can EK ERP handle several related companies?

Yes. Nest Nepal and two related companies each have their own company in EK ERP, and Nest Nepal managers supervise staff in the related companies without getting admin access to them.
